Attendance Policies

If your child is scheduled to attend and they are unable to attend, please contact the center and let the Administrator know. If a child doesn’t attend for 3 consecutive days without notifying the Center in writing via the Childcare App or via voicemail to the Center Admin, we will consider that child disenrolled. All accounts will still be billed for a 2-week period after the date of disenrollment. Parents/Guardians will be responsible for this payment.

School-Aged Children Using School Transportation

It is imperative you let us know via the Childcare App that your child will not be attending that day. If a school-aged child doesn’t get off the school bus that is scheduled to be at the Center, the Lead Teacher will first contact the Bus Garage to find out where that child is located. If the error was the school transportation, the Lead Teacher will ensure they follow through with the school administration for the safe return of that child to our Center. A parent will be notified of this process. If a child is not in attendance at the school, the teacher will contact the parent/guardian to see if they are aware the child is not in attendance at the school.

Absence, Sick Days, and Vacations

We schedule teachers and budgets for the everyday costs related to running our center based on the schedule you agree to when you enroll. We offer Full Time and Part Time rates depending on the campus; please see your Administrator for the rules and rates. We will charge your full rate of tuition regardless of whether your child attends. Due to limited spots, you are paying for their spot regardless of attendance. In most cases we have an extensive waiting list. Therefore, we do not offer any discounts for vacations, sick days, or absences. We adhere to DCY (Department of Children and Youth) policies on subsidized income as it pertains to absent days, sick days, and vacation days.

If your child will be absent due to illness, vacation, or other family activities, notify the center at least 2 hours prior to the child’s scheduled start time. A student who does not attend 3 consecutive days without giving notice is subject to disenrollment without notification.

Withdrawing Your Child

If you need to withdraw your child permanently or for a leave of absence, a 2-week written notice is required. Closing an online account does not constitute withdrawal from the center or end of payment obligation. You will be responsible for 2 weeks of childcare tuition after your written notice of leave of absence or permanent withdrawal. Failure to pay a 2-week withdrawal notice will place accounts into collections. No refunds on any remaining account balance upon disenrollment.

If a child is withdrawn from the program and subsequently re-enrolls, a new registration fee is due at that time. We do not hold spots or reserve spots for emergencies. You will be required to pay a Full-Time rate for a spot you wish to hold. Supply fees and fundraiser funds raised are non-refundable, even if they are credited to your child’s account.

Should a family wish to re-enroll after being placed into collections, they must pay 150% of what their account balance states, to pay the amount owed to the collection agency. The 2-week notice must be submitted digitally, via QR code posted at all centers, or via hcchildcare.com footer → Customer Care → Disenrollment Notice.

Billing continues weekly until the digital form is actually submitted (verbal notice is not sufficient).

The 2 additional weeks are billed regardless of whether the child continues attending during that period — attendance is optional.
