Hours of Operation

Both campuses are open Monday–Friday, 6:00am–6:00pm. We are closed weekends and do not offer extended, overnight, or 24-hour care at either location.

Holidays and Closings

Christmas Eve, Christmas Day, and Thanksgiving Day. We also close 2 days per year for required staff in-service training and may close on other holidays if there isn't enough family sign-up interest to justify staying open.

Registration & Enrollment

How do I register my child? We'll send you a registration link by email or text, based on your preferred contact method. You can also pick up a paper registration packet in person at either campus upon request.

What do I need to complete before my child can start? A signed Enrollment Agreement (with Center Administrator signature), plus your registration fee and first week's tuition/co-pay.

Is the registration fee refundable? No, it's non-refundable and charged once per family, per center.

What are your class ratios and capacities?

Infants 1:5 | Toddlers 1:7| Pre-School 1:12 | Pre-K 1:14 | School-Age program ratio is 1:18 at Barensville and 1:16 at St. Clairsville.

Tuition Rates & Fees (Parent Pay)

Infant Full Time Mon-Fri $295 week | Part Time M-W-F $240 week | Part Time T-T $180 week

Toddler Full Time Mon-Fri $265 week | Part Time M-W-F $175 week | Part Time T-T $150 week

Pre-School Full Time Mon-Fri $232 week | Part Time M-W-F $150 week | Part Time T-T $135 week

Before & After School up to 10 hours per week $80 per week, each additional 10 hours over 10 is an additional $20

Can I choose any part-time schedule I want? No. Part-time enrollment must be either Mon/Wed/Fri or Tue/Thu — no other day combinations are available. If neither pattern works for your schedule, full-time enrollment is required.

What is the Supply Fee? $35 per child, billed three times a year: January, May, and September.

What is the Technology Fee? $7.50 per child.

Diapers are $1.50 per diaper used.

Baby Wipes are $7.50 per package.

Infant Formula is the cost we paid for the formula plus a $50 convenience fee.

Payment & Billing

How do I pay tuition? Only through the Childcare App. Cash, checks, and money orders are not accepted.

Is Autopay required? Yes. Autopay is mandatory for all families. We no longer offer a "Deposit on File" option.

Are there fees for credit card payments? Yes, a payment processing fee applies to all credit/debit card payments. We encourage families to link a checking account (bank draft) instead, as it's the lowest-cost way to pay.

When is tuition due? A: Every Friday by 3:00pm for the upcoming week of care. No refunds are given for prepaid tuition or unused weeks, including sick days, vacations, or absences.

What happens if my account becomes past due? At 7 days past due, your account is considered late.

  • At 14 days past due, if you haven't discussed a repayment arrangement with the Billing and Enrollment Specialist, your account automatically goes into default. This is treated as a disenrollment notice, meaning:

  • Your child is disenrolled

  • Final 2 weeks of tuition are added to your balance

  • A $100 collection fee is charged

  • Your account is sent to Small Claims Court, and you are responsible for court costs and any additional fees the court imposes

  • What if I pay my balance before the court date? You'll owe 1.5x the total fees due on the account, plus court filing fees. Once paid in full, we will notify the court that the debt has been settled.

Will my spot be held if my account is unpaid? No. Spots are not reserved for unpaid accounts. All fees and fines must be paid to regain your child's spot.

Family Discounts

Do you offer a discount for multiple children? Yes — a flat 10% discount applies to the oldest child only, and only if all enrolled children attend the same campus.

Does the discount apply to other fees? No. The discount applies to tuition only — it does not apply to registration fees, supply fees, technology fees, extracurricular fees, or Summer Camp fees.

Withdrawl & Disenrollment

How do I withdraw my child? Submit a disenrollment notice digitally — either by scanning the QR code posted at your campus, or online at hcchildcare.com (scroll to the footer → Customer Care → Disenrollment Notice). A 2-week notice is required.

Will I keep being billed until I submit the form? Yes — billing continues every week until the digital disenrollment form is actually submitted, even if you've verbally told staff you're leaving.

Do I still get billed after I submit notice? Yes, you'll be billed for 2 additional weeks after submitting notice, regardless of whether your child continues attending during that time — that part is optional.

Will I get a refund of any remaining balance when I disenroll? No, there are no refunds on any remaining account balance upon disenrollment.

If I re-enroll later, do I have to pay the registration fee again? Yes, a new registration fee applies any time a previously withdrawn child re-enrolls.

What if my account went to collections/Small Claims Court and I want to re-enroll? You must pay 150% of the balance owed to the collection agency before re-enrolling. If resolved before a court date, the 1.5x + court filing fee terms above apply instead.

Subsidized Care (DCY) used to be called ODJFS or Ohio Department of Jobs & Family Services

What attendance is required for subsidized care? You must meet the minimum weekly hours DCY has approved you for, and you must attend during the specific hours DCY approved — not just any hours that add up to the minimum. If requirements aren't met, you're financially responsible for the difference between the DCY-subsidized rate and the applicable center tuition rate.

How do I sign my child in/out if I have a subsidy? A: In addition to signing in/out on the Childcare App, subsidized families must also sign in/out on a second device located near the building entrance.

When can my child start on a subsidy? Your child cannot start under DCY billing until your DCY approval letter has been provided and received by the Billing and Enrollment Specialist. You may choose to start attendance before that, but you'll be billed the full parent pay rate in the meantime. You can submit your DCY approval letter by going to hcchildcare.com scrolling to the footer of the page and under Customer Care Choose Submit Paperwork.

What if my child attended at the parent pay rate but DCY later approves back pay? If it's determined DCY will cover that earlier period and the campus Administrator confirms it, once the center receives payment from DCY for those hours, you'll be refunded the difference by check mailed to the address on file.

Schedules & Attendance

How do I submit or change my child's weekly schedule? Scan the QR code posted at the information board at either campus, or go to hcchildcare.com → scroll to the footer → Customer Care → Schedule Change. Changes must be submitted no later than Wednesday at 3p for the upcoming week — after that, your existing schedule carries over and cannot be changed.

Why is the deadline strict? A: We staff based on childcare needs, so schedule changes need to come in ahead of time.

What if my child will be absent? Notify the center at least 2 hours before your child's scheduled start time via the Childcare App.

What if my child doesn't show up for several days without notice? 3 consecutive days of unexcused absence without written notice via the Childcare App is treated as disenrollment; the account is still billed for 2 weeks after that date.

Can I use Drop-In care whenever I want? A: Drop-in status does not guarantee a spot. You must call the center before arriving — depending on enrollment numbers that day, your child may not be able to stay.

Field Trips (Summer Camp / School-Age)

What time will my child be back from a field trip? We try to have children back by 5:00pm, but this is not guaranteed — delays can happen due to construction, traffic, or roadway incidents. If your schedule requires an earlier pickup, you may choose not to send your child on field trip days when the timing could conflict with your schedule or other activities.

Electronics Policy

Can my child bring a phone or electronic device? No personal electronic devices may be used in classrooms or on field trips. If a device is sent with your child, staff will store it until pickup at the end of the day.

Communication

How will I get updates about my child's day? Through the Childcare App — daily updates, photos, and messaging.

Where do I find the quarterly newsletter? A: The newsletter is now delivered through the Childcare App. (Details pending final confirmation from Administration.)

Where are important reminders posted? A: On the door or on the information board at your campus.
